What you'll be doing
As an Associate Event Specialist, you'll support the planning and execution of conferences, trade shows, field marketing programs, and internal events. You'll work closely with our founder, Charlene, and the rest of the team to keep projects moving forward, manage logistics, communicate with clients and vendors, and help ensure every detail is accounted for.
This role is ideal for someone who enjoys solving problems, staying organized, and being the person others can count on. You'll gradually take on more ownership and responsibility as you build confidence leading projects independently.

Some of your responsibilities include:
Project support and ownership: Partner with Charlene and the broader team to support event planning and execution from kickoff through post-event wrap-up. Track milestones, manage action items, and help ensure projects are delivered on time and with attention to detail.
Event strategy and planning: Develop an understanding of each event's goals, audience, and success metrics. Contribute thoughtful recommendations and support planning decisions that align with client objectives.
Logistics management: Support the planning and execution of conferences, trade shows, field marketing programs, and internal events. Coordinate timelines, deliverables, and event logistics to keep projects moving forward.
Vendor and venue coordination: Research, source, and communicate with venues, caterers, AV providers, and other event partners. Support negotiations, manage logistics, and help build strong vendor relationships.
Swag, collateral and production: Coordinate event materials, signage, swag, and printed collateral. Manage production timelines and quality control to ensure everything arrives accurately and on schedule.
Client and stakeholder communication: Participate in client meetings, status calls, and ongoing communication. Help build strong relationships with clients, sponsors, speakers, vendors, and other stakeholders.
Budget and financial support: Assist with budget tracking, invoice management, and post-event reconciliation while developing a strong understanding of event financials.
Onsite execution: Travel for site visits, walkthroughs, and event execution. Support setup, registration, vendor management, attendee experience, and day-of operations.
Post-event reporting and analysis: Assist with attendee feedback collection, event reporting, performance metrics, and recommendations for future improvements.
Process improvement: Look for opportunities to improve workflows, enhance the client experience, and help the team operate more efficiently.
Who you are
Experience: 3+ years of experience in event planning, project management, field marketing, or a related role.

Exceptional time management skills. You'll bring a sense of urgency and ownership to complete tasks to their deadlines and know ahead of time when items are falling behind. You'll be able to triage tasks and prioritize deadlines.
Technically savvy: You're comfortable learning new tools and technologies. Experience with ClickUp, Google Workspace, Slack, event tech stacks, and Apple products is a plus.
[Bonus] Industry Enthusiast: Experience supporting B2B conferences, trade shows, sponsorship programs, or field marketing events.
Expectations
Role: Full-time employment
Compensation: $60,000 to $67,000 based on experience
Location: AZ or CO preferred
Manager: Reports directly to the Founder and CEO, Charlene Ditch
Travel: Must be willing to travel domestically and internationally for site visits and events.
